PF name, date of birth and exit date correction: fix your EPF details online (joint declaration)

Quick answer

If your UAN is Aadhaar-verified, you can correct your name, date of birth, gender, nationality, father's/mother's name, marital status, spouse's name, date of joining and date of leaving in PF yourself, online, without uploading documents and without employer approval (since January 2025). The exception: if your UAN was issued before 1 October 2017, the employer must certify the change. Without full e-KYC, the employer can approve most requests. A pending request stuck with the employer can be deleted and self-approved.

Meena's PF record says "Meena Patil", her Aadhaar says "Meena Sunil Patil", and her date of birth is off by a year. Every claim she filed got stuck. Earlier, a fix like this needed a paper "joint declaration" signed by the employer, which took weeks. Now, because her UAN is verified with Aadhaar, she can correct it herself on the portal.

Who can correct what, and who approves

Your situationWho approves the change
UAN Aadhaar-verified, issued on or after 1 Oct 2017You (self-approval, no documents)
UAN Aadhaar-verified, issued before 1 Oct 2017Your employer certifies it
UAN without full e-KYCUsually the employer (about half of cases need nothing from EPFO); others go to the PF office

Details you can correct this way: name, date of birth, gender, nationality, father's/mother's name, marital status, spouse's name, date of joining, date of leaving.

Aadhaar must be right first. The correction makes your PF record match Aadhaar. If Aadhaar itself is wrong, correct Aadhaar first: name, date of birth.

How to correct details online

  1. Log in to the EPFO member portal (unifiedportal-mem.epfindia.gov.in).
  2. Open the Manage menu and choose the option to modify basic details (joint declaration).
  3. Select the PF account (member ID) and enter the correct details exactly as in Aadhaar.
  4. Submit. If your UAN qualifies, you approve it yourself and it is updated. Otherwise it goes to your employer.
  5. Already filed earlier and it's stuck with the employer? EPFO lets you delete that request and file it again for self-approval, if you qualify.

Date of exit (date of leaving) not updated?

Your old employer should enter your date of exit as soon as you leave. Without it you can't withdraw that account, and transfers often get stuck. If they haven't done it:

  • Aadhaar-verified UAN: you can update the date of leaving yourself (it's on the list above). The member portal also has a Mark Exit option.
  • The date of exit for EPF and EPS (pension) must be the same, unless you are 58 or older.
  • Otherwise, ask the old employer's HR, or raise a grievance on EPFiGMS.

Enter dates carefully. Your date of birth decides your pension age, and your date of exit decides when you can withdraw. A wrong date can delay your pension or claim. Free help is available at the PF office; never pay an agent.

After the correction

  • Check your passbook and UAN profile to confirm the new details.
  • Then file your pending claim or transfer: withdraw PF · transfer PF.
  • Make sure your bank and PAN KYC are also in order: EPFO KYC update.

Frequently asked questions

How can I correct my name in PF online?

If your UAN is Aadhaar-verified, log in to the EPFO member portal, use the option to modify basic details under Manage, enter your name exactly as in Aadhaar and submit. You can self-approve it without documents or employer approval, except for UANs issued before 1 October 2017.

Can I change my date of birth in PF without the employer?

Yes, if your UAN is Aadhaar-verified and was issued on or after 1 October 2017. The date of birth is corrected to match Aadhaar.

My employer has not updated my date of exit. What can I do?

If your UAN is Aadhaar-verified, update the date of leaving yourself on the member portal (Mark Exit). Otherwise ask the old employer, or raise a grievance on EPFiGMS.

My correction request is pending with the employer for weeks. What now?

If you are eligible for self-approval, delete the pending request and file it again for self-approval.

What is a joint declaration in PF?

It is the request to correct your PF details, which used to be signed by both you and the employer. For Aadhaar-verified UANs, most of these corrections are now self-approved online.
